Zach Carrington Coaching and Consulting, LLC, doing business as The GymDoc Consulting
(“GymDoc,” “we,” “us,” or “our”), operates www.thegymdocconsulting.com and Ascent, also known as GymDoc AI, at ai.thegymdocconsulting.com. This policy explains how we collect, use, disclose and handle information through our websites, consulting services and software, including the GymDoc Marketing Plugin for Facebook and Instagram.
This policy covers visitors, customers, account holders, authorized workspace users and people who contact us. Third-party services you visit or connect have their own privacy notices. When a business customer supplies information about its staff or customers for us to process on its behalf, that business may be responsible for its own notices and permissions. Contact us if you need help directing a request to that business.
Account and business information. We collect information you provide when creating an account, requesting information or using our services, such as your name, email, telephone number, business name, location, website, business profile, preferences and team membership or role.
Content and communications. We process prompts, chats, uploaded images and videos, advertising drafts, generated content, support messages and other information you choose to provide. Sales-training features process voice or audio, transcripts, feedback and performance history as needed for the feature. Only provide information you are authorized to use; avoid unnecessary sensitive personal information in prompts, uploads and campaign labels.
Billing information. We process subscription, transaction, invoice, billing-contact and usage information. Payment providers process payment details needed to complete transactions.
Technical information. Our services and infrastructure may collect device and browser information, IP addresses, session information, activity and error logs, and information stored through cookies or similar technologies. Section 7 explains website tracking and choices.
Connected service information. When you authorize an integration, we receive information permitted by that authorization and relevant to the features you use. For Meta, this can include account and business identifiers, Page names and identifiers, linked Instagram business identifiers and usernames, ad accounts, campaign and creative information, Page or post information, advertising performance metrics, access credentials and permission status. We also store reports and recommendations derived from this information.
Ascent's Meta reporting integration uses advertising metrics, including aggregate lead counts, rather than individual lead-form submissions for its performance analysis. Business labels, content you submit and other account information can nevertheless identify people. This policy does not treat all marketing information as anonymous.
We use information to operate accounts and workspaces; provide consulting, reporting, advertising, content-generation and training features; process transactions; respond to requests; communicate service updates; troubleshoot problems; protect accounts; prevent misuse; and meet applicable legal obligations.
We use business context and content to generate the outputs you request. We may use service usage information to understand performance and improve our services, subject to applicable law, this policy and restrictions on information received from connected platforms. Where permitted, we send marketing communications about GymDoc; you can opt out as explained below.
Ascent account sign-in is separate from connecting Meta. Facebook Login for Business is used to authorize access to Facebook and Instagram business assets associated with an existing Ascent account. Access depends on the permissions granted and the assets you are authorized to manage.
We use Meta information to display and select authorized assets, retrieve advertising reports, support campaign and creative management, and provide performance analysis and recommendations. Actions depend on the features and workflows you enable. Connection credentials allow the integration to communicate with Meta on your behalf.
We do not sell Meta Platform Data or provide it to third parties for their independent marketing. We limit its processing and disclosure to the services you authorize and purposes permitted by Meta’s applicable terms and law. These restrictions also apply to reports or other information derived from Meta data; aggregation does not create unrestricted sharing rights.
You can manage or revoke the app’s authorization in your Facebook Business Integrations settings. You can also disconnect the integration in Ascent. Revoking authorization prevents further use of that authorization; disconnecting or revoking is separate from deleting historical information. Neither action automatically deletes your Ascent account, cancels your subscription or removes ads from Meta. See section 9 to request deletion.
AI features send relevant inputs to the providers that process those features. Inputs may include prompts, business context, media, training audio or transcripts, and advertising information. For Meta performance analysis, OpenAI receives campaign or ad labels, advertising metrics and business context to produce recommendations. Ascentr may retain the resulting analysis for your use.
Supabase supports account, database and backend processing, including Meta integration records. We also use providers for hosting, media delivery, payment processing, communications, support and AI functionality. The information disclosed depends on the service being used; not every provider receives Meta data.
We restrict providers’ use of information through applicable contractual and platform requirements. Providers receiving Meta Platform Data must process it for the authorized service, rather than their own independent purposes. AI outputs can contain information from your inputs; review them before sharing or publishing them. Do not submit passwords, access tokens or unnecessary sensitive information in an AI prompt.
Information may be available to authorized members of your workspace according to their access and to service providers supporting the purposes described above. Content you publish, export or share is available to the audiences and services you choose. Sharing a link or publishing media may make that material accessible beyond your workspace.
We may disclose information when required by applicable law or valid legal process, or when legally permitted and necessary to protect rights, safety and service security. We may disclose information in connection with a merger or business transfer, subject to applicable legal and platform restrictions. We may also disclose information at your direction or with legally valid consent where appropriate.
The Meta-specific restrictions in section 4 apply to Meta Platform Data even when a broader disclosure category appears in this policy. We do not interpret this policy as permission to override those restrictions.
We use cookies or similar technologies where needed to maintain sessions, remember preferences and operate our services. Browser settings can limit cookies, although some features may not work without necessary storage.

You can unsubscribe from marketing emails through the message’s unsubscribe control or contact support@thegymdocconsulting.com. Service, security and transaction messages may still be sent when needed to administer your account. Use any opt-out instructions included in other marketing messages you receive.
We retain information for the purposes described in this policy for as long as it is needed, considering the service relationship, the type of information, operational requirements and applicable legal obligations. Meta data is subject to Meta’s deletion and retention requirements as well as applicable law. A business purpose does not override a platform obligation to delete data.
When information is no longer needed or a valid deletion request applies, we delete it or handle it as otherwise permitted by applicable requirements. Requests include relevant information derived from Meta data and copies held by our processors. Any legally required retention is limited to the information and period required. Backup copies may remain until their retention cycle expires; deletion must be reapplied if a backup is restored so erased information is not returned to active use.
We use administrative and technical safeguards intended to protect information and restrict access. No internet transmission or storage system can be guaranteed completely secure. Protect your credentials, manage your workspace’s access, and contact us if you suspect unauthorized use.
Contact support@thegymdocconsulting.com to request access to, correction of or deletion of information, or to ask a privacy question. Depending on your location and applicable law, you may also have rights to receive a copy, restrict or object to processing, withdraw consent, opt out of certain uses, or appeal a decision. We handle requests and applicable appeals without unlawful discrimination. Contact the same address with “Privacy request appeal” in the subject if you want us to reconsider a decision. Where applicable, you may complain to a competent data-protection authority.
For Facebook or Instagram information, use the subject “Ascent Meta data deletion.” Include your Ascent account email, business or workspace name, and whether the request concerns the Meta integration or your whole Ascent account. Do not send passwords, access tokens, payment details or identity documents in your initial request.
We may verify your identity and authority using proportionate information, clarify the scope and coordinate with a business customer where it controls the information. We respond within applicable legal time limits and explain relevant exceptions or additional steps. Deleting an Ascent record does not itself remove information already published to Meta or held independently by another service.
GymDoc operates in the United States. Our providers may process information in the United States and other locations in which they operate. Where applicable law requires safeguards for international transfers or additional privacy information, we provide the required protections and information. Contact us for questions about processing locations or rights that apply to you.
Our services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided such information, contact us so we can investigate and take appropriate action, including deletion where required.
We may update this policy to reflect changes in our services, practices or applicable requirements. We will update the effective date and provide additional notice or obtain consent when required. Posting a revised policy does not by itself authorize a new use that requires consent.
