AI Automations & When to Intervene
This guide explains how AI-powered automations in GymDoc streamline lead management and highlights when manual intervention is necessary.

1. Lead Lifecycle Overview

When a lead enters the system, they follow one of two paths:

  1. They book the initial 3-5 minute jumpstart call:some text
    • Leads are added to confirmation and reminder cadences automatically.
  2. They do not book the call:some text
    • Leads are added to a nurturing cadence with automated follow-ups.

2. Nurturing Cadence

  • Purpose: Encourage unresponsive leads to book a call.
  • Frequency: Messages are sent every other day to weekly for the first 3-7 months.
  • Example Message:
    “Hi [Name], just checking in to help you book your 5-minute jumpstart call. Let us know if you need any assistance!”

3. AI Responses

  • Initial Lead Interaction:some text
    • If a lead responds to a nurturing text, the AI steps in to answer their query conversationally.

    • Review the conversation to decide if intervention is needed.

  • Use SMS as the primary communication method for immediate responses.
  • For leads who prefer immediate calls, take proactive action and connect directly.
  • Regularly review the nurturing cadence’s effectiveness and adjust messaging as needed.
