🔗 Calendar Connections & Blocking Time
Welcome back! This is Part 2 of our calendar setup walkthrough for GymDoc CRM. In this section, we’ll cover:
- How to connect an external calendar (Google, Outlook, iCloud, etc.)
- How to check for availability conflicts
- How to manually block off time
👉 If you haven’t watched Part 1 (Availability Setup) yet, we highly recommend starting there.
🔧 Step 1: Access Calendar Connections
To begin, follow these steps:
- Go to Calendars in the left-hand menu.
- Click Calendar Settings for your selected calendar.
- Navigate to the far-right tab: Connections.
From here, you’ll see any connected calendars (like Google) or the option to add one.
🌐 Step 2: Connect Your External Calendar
Click Add New. You’ll be prompted to choose from:
- Google Calendar
- Outlook
- iCloud
- Calendly
Tip: Even if you use other tools (like MindBody or WellnessLiving), you can sync those to Google Calendar first—then connect that Google Calendar to GymDoc.
This creates a “middleman” connection, ensuring all appointments, regardless of origin, are accounted for.
✅ Connecting the Calendar:
- Click Connect.
- Sign in with your account.
- Select the specific calendar you want to link.
- You’ll see your connected calendar under “Main Calendar.”
- Make sure to check for conflicts by selecting one or more calendars to monitor availability.
🧠 Step 3: Conflict Management
After connection:
- Click the Edit icon.
- Under Conflict Calendars, select any calendars you want GymDoc to check before allowing bookings.
- Example: You have personal and business sub-calendars—select both to prevent double-bookings.
All selected calendars will be scanned in real time to prevent leads from booking over existing events.
👥 Step 4: Review Staff Calendar Connections
If you're an admin:
- Click the dropdown menu to view all staff connections.
- Easily confirm that each user has connected their calendar properly.
- This is critical before launching ads and routing leads to book.
⛔ Step 5: Manually Block Off Time
Want to schedule a lunch break or mark yourself unavailable?
Here’s how:
- Navigate to your calendar view.
- Click directly on the time slot you want to block (e.g., 2:00 PM tomorrow).
- Click Book Appointment → select Blocked Off Time.
- Enter a title (e.g., “Lunch”) and time range (2:00 PM–3:00 PM).
- Click Confirm → Block Off Time.
This blocks time only on your profile—not for other users on the same calendar.
Note: Each user must block off their own time individually. Blocking time on a shared calendar (like Jumpstart) only applies to the user who made the change.
