Updating Appointment Statuses

This guide explains the importance of updating appointment statuses for jumpstart calls in real-time to ensure your pipeline remains accurate and effective.

1. Accessing Appointments

  • Navigate to Calendars > Appointments in the dashboard.
  • View all upcoming appointments, or sort by specific categories like canceled or specific calendars.
  • Example: For a jumpstart call scheduled for January 6th at 9:00 AM, ensure you’re prepared to call at the exact scheduled time.

2. Best Practices for Jumpstart Calls

  • Call Promptly:some text
    • Call leads as soon as the appointment is scheduled if possible.
    • If not, ensure you call at the scheduled time.
  • Double-Call Strategy:some text
    • If the first call goes to voicemail or doesn’t ring, call again immediately.
    • This increases the likelihood of reaching the lead.

3. Updating Appointment StatusesOnce the call is completed, update the appointment status based on the outcome.

  • Status Options:some text
    • Show:some text
      • Select if the lead answers the phone.
      • Mark this status even if the lead is uninterested or declines further action.
    • No Show:some text
      • Select if the lead does not answer the phone.
      • This will trigger a no-show nurturing cadence encouraging the lead to rebook.

  • Always update the status immediately after the call.
  • Most calls will be marked as Show or No Show, with cancellations and invalid leads being less common.
  • If marked as No Show, the lead automatically enters a no-show nurturing cadence.
