1. Navigating to the Calendar Page

  • Go to the Calendar tab to view and manage your schedules.
  • Use the filters to:some text

    • Switch between daily, weekly, and monthly views.
    • View all appointments by clicking the Appointments tab.

2. Understanding Calendar Availability

  • GymDoc provides pre-built round-robin calendars for managing appointments (e.g., Jumpstart Call and In-Person appointments).
  • Types of Availability:some text
    • Calendar Availability: Business hours when any user can accept appointments.
    • User Availability: Individual schedules set for each staff member.

Editing Calendar Availability:

  1. Go to Calendar Settings.
  2. Adjust business hours for the calendar (e.g., Monday–Friday, 8 AM–5 PM).
  3. Use the Copy button to apply settings to multiple days.

3. Configuring User Availability

  • User availability determines when specific staff members are available for appointments.

Steps to Edit User Availability:

  1. Navigate to Settings > My Staff.
  2. Select the user profile you wish to edit.
  3. Scroll down to the User Availability section.
  4. Set the user’s availability by:some text
    • Defining time blocks for specific days.
    • Adding multiple time blocks if needed.
    • Using the Copy All feature to replicate settings across days.

4. Integrating External Calendars

  • GymDoc allows integration with Google Calendars to sync schedules seamlessly.

Steps to Integrate a Google Calendar:

  1. Navigate to Settings > Integrations.
  2. Click Sign in with Google and log into your Google account.
  3. Select the calendars you wish to sync.

Sync Options:

  • One-Way Sync:some text
    • Blocks off unavailable times from your Google Calendar in GymDoc.
    • Does not transfer contact or event details.
  • Two-Way Sync:some text
    • Syncs all events and contacts between Google Calendar and GymDoc.
    • Adds Google Calendar appointments (e.g., meetings) to GymDoc CRM.

5. Linking Calendars to User Profiles

  1. Return to Settings > My Staff.
  2. Open the user profile and find the Calendar Configuration section.
  3. Select the integrated calendar for the user.
  4. Choose the sync type (One-Way or Two-Way).

6. Best Practices

  • Recommended Sync Setting: Use a One-Way Sync to avoid duplicating data or creating unnecessary contacts.
  • Confirm calendar availability is set up correctly for both the business and individual users to prevent scheduling conflicts.
